School on General Relativity, Astrophysics and Cosmology 

(GRSch 2023)

23 - 29.07.2023 (Warsaw), 30.07 - 05.08.2023 (Chęciny)



 

INTRODUCTION

The international summer research event, the School on General Relativity, Astrophysics and Cosmology, enables doctoral candidates and young researchers to broaden their expertise in gravitational theory, quantum gravity models, relativistic astrophysics, cosmology, and gravitational wave physics. The school is expected to lead to contacts with internationally recognised experts, who may be interested in undertaking research collaborations with GRSch 2023 participants and welcoming them into their research groups.

GENERAL PROVISIONS

§ 1

  1. The School on General Relativity, Astrophysics and Cosmology (hereafter: 'School' or 'GRSch 2023') is a project under the ‘Excellence Initiative - Research University’ (IDUB) programme, Action IV.4.2 – ‘International Summer Schools for PhD students and young research employees.
  2. The main organiser of GRSch 2023 is the Faculty of Physics at the University of Warsaw (hereinafter: the 'Organiser'), supported by the Faculty of Physics, Astronomy and Applied Computer Science at Jagiellonian University.
  3. The organiser is represented by the Dean of the Faculty of Physics at the University of Warsaw.
  4. The GRSch 2023 organisational team is appointed by the IDUB Programme Manager – the Vice-Rector for Research.
  5. The team's main tasks include:
          a)  organisational and content preparation for the School,
          b)  developing the School's rules and regulations,
          c)  carrying out the recruitment process for participants in the School,
          d)  recruiting lecturers and developing the the School's programme,
          e)  building and maintaining the School's website,
          f)   development of conference materials,
          g)  contact with the School's lecturers, booking airline tickets and hotels for lecturers,
          h)  running the School's office,
          i)   ensuring that the School runs in accordance with its programme,
          j)   completion of the School's work, issuance of relevant certificates,
          k)  evaluation of the School,
          l)   preparation of the School's substantive report and financial settlement.
  6. A participant in the School may be:
          a)  a doctoral candidate with doctoral status for the full duration of the School;
          b)  an academic employee who obtained a doctoral degree no earlier than 7 years before the date of publication 
                of the School's available chairs.
  7. Participation in GRSch 2023 is payable.
  8. The school is to be implemented in two parts, over a period of 12 days: 23.07 - 29.07.2023 in Warsaw (Part I) and 30.07 - 05.08.2023 in Chęciny (Part II).
  9. It is possible to participate in both parts, or one selected part of the School.
  10. The minimum number of participants in the School is 30, half of whom should be participants who work or study at a foreign university.
  11. The maximum number of participants in the School is 56, half of whom should be participants who work or study at a foreign university.
  12. Within GRSch 2023, the participation of doctoral candidates and academic employees from the University of Warsaw should not exceed 1/3 of the total number of participants.
  13. The School is conducted in English, in accordance with its Programme, which is published on the website: conferences.fuw.edu.pl/event/5/

RECRUITMENT RULES

§ 2

  1. Recruitment to the School will start on 29.03.2023 and end on 24.04.2023.
  2. Persons interested in participating in GRSch 2023 must complete and submit the registration form made available at conferences.fuw.edu.pl/event/5/  by the deadline indicated in paragraph 1.
  3. In the registration form, the candidate provides his/her personal and contact details and affiliation, includes a cover letter, and agrees to the Organiser's processing of personal data.
  4. Submission of the registration form by the candidate is only possible after acceptance of these rules.
  5. The assessment of applications is carried out by the Orgranising Team.
  6. The Orgranising Team carries out its assessment based on the content of the cover letter. 
  7. The result of the recruitment is approved by the Dean of the Faculty of Physics. There is no right of appeal against the results.
  8. Candidates will be notified of the results of their recruitment to the School via email, by 05.05.2023.
  9. If the quota of places is not filled, the Organiser will conduct an additional call from 01.05.2023 to 13.05.2023.
  10. Candidates will be notified of the results of the additional recruitment to the School by 18.05.2023.
  11. A participant in the School is obliged to pay the fee referred to in § 5, para. 2, within 21 days of receiving an email informing of qualification for participation in the School. In the event of non-payment of the fee, the Dean of the Faculty of Physics may invalidate the decision to qualify for GRSch 2023. The vacated place is taken by the next person from the reserve list, chosen so as not to affect the proportions specified in § 1, para. 9-11.

RIGHTS AND OBLIGATIONS OF THE ORGANISER

§ 3

  1. The Organiser reserves the right to process personal data in accordance with the terms set out in the information clause included in the recruitment form.
  2. The Organiser reserves the right to change the dates (daily and hourly) for the implementation of GRSch 2023, in justified cases.
  3. The Organiser reserves the right to decide to change the date of the School, at any time before the commencement of the School, if an epidemic situation or other restrictions on the functions of the University of Warsaw imposed by the Rector of the University of Warsaw so require. The School should, however, take place no later than 30 September 2023. The Organiser will immediately inform candidates or participants in GRSch 2023 of its decision.
  4. The Organiser reserves the right to cancel the School or to reduce the number of participants proportionately, while observing the percentage principles in the selection of candidates, as in § 1.9 and § 1.10 and § 1.11, in the event that the results of the recruitment are not satisfactory (too few applications received).
  5. The Organiser is obliged to organise and provide:
          a)  implementation of activities in accordance with the School's programme;
          b)  expert staff with the professional competence to teach the School's programme;
          c)  coffee breaks during Part I of the School held in Warsaw;
          d)  coffee breaks and lunch during Part II of the School held in Chęciny;
          e)  accommodation for participants in Part II of the School, which will take place in Chęciny;
          f)  issuing participants with a certificate for completing the School.

RIGHTS AND OBLIGATIONS OF THE PARTICIPANT

§ 4

  1. A participant is entitled to:
          a)  participation in the lectures and seminars provided for in the School's programme;
          b)  individual consultations with expert staff concerning the research project of a participant in the School;
          c)  receive conference materials;
          d)  use of coffee breaks and lunches provided by the Organiser during the School;
          e)  obtain accommodation in the second part of the School, which will take place in Chęciny;
          f)  to communicate with the Organiser on matters related to the School GRSch 2023 Office at the following email 
               address: grsch2023@fuw.edu.pl or in person, with those persons designated as members of the organising 
               team during the School.
  2. The participant undertakes to:
         a)  comply with the School's rules and regulations;
         b)  participation in the School's activities as evidenced by signatures on attendance registers.

FEES

§ 5

  1. GRSch 2023 is a project funded by the University of Warsaw (IDUB Programme, Action IV.4.2) and by conference fees.
  2. The fee for participation in Part I of GRSch 2023 is 240 PLN (EUR 50) and 950 PLN (EUR 200) for participation in Part II. The fee is intended to cover the costs of the School, for the following:
         a)  the organisation of lectures;
         b)  the organisation of coffee breaks during Part I of the School and coffee and lunch breaks during Part II of the 
               School;
         c)  preparation of conference materials;
         d)  providing accommodation in Part II of the school in Chęciny.
  3. In the event of the circumstances referred to in § 6.1, the Participant shall be entitled to a refund of 45% of the fee paid, which the Organiser shall transfer to the bank account specified by the Participant.

FINAL PROVISIONS

§ 6

  1. The Organiser stipulates that in the event of circumstances beyond its control, e.g., related to the increased danger of epidemic and related restrictions to the operation of the institution, all classes may be conducted using distance learning methods and techniques. Any information about such changes will be provided by email to the GRSch 2023 participant's address, to which the participant agrees by accepting the GRSch 2023 rules.
  2. The rules shall enter into force on the date of their promulgation.
